WhatsApp Business API vs WhatsApp CRM: real per-message costs in India, approval time, template rules, and which one fits your business size.
If you run your business on WhatsApp, you eventually reach the same fork in the road: WhatsApp Business API vs WhatsApp CRM software that works on the number you already use. Both help you handle far more customers than the plain WhatsApp app. But they cost different amounts, get approved differently, and suit very different kinds of businesses. This post lays out the trade-offs honestly — including the places where the API is clearly the better choice.
One thing up front: WA-CRM is not official WhatsApp or Meta software. It is an independent Windows app that runs your real WhatsApp Web session inside it and adds CRM tools around it.
The WhatsApp Business API is Meta's official messaging channel for businesses. You don't "install" it — you go through a Business Solution Provider (BSP), Meta verifies your company, and your number becomes an API number. From then on that number lives on a server, not on a phone. You send through a dashboard or your own software, and Meta charges you per message.
WA-CRM takes the opposite route. It's a desktop app for Windows. You scan a QR code with your existing WhatsApp number, exactly like WhatsApp Web, and the app layers a CRM on top: a Lead Manager, follow-up sequences, a product catalog, GST invoicing, broadcasts and more. Nothing goes through Meta's paid pipe, so there is no per-message fee.
Meta charges per template message in most categories. Indicative India rates (mid-2026 — always check your BSP's current rate card, these change):
| WhatsApp Business API | WA-CRM | |
|---|---|---|
| Marketing message | ~₹0.78–0.90 each + BSP markup | ₹0 |
| Utility / OTP message | ~₹0.11–0.15 each | ₹0 |
| Customer service replies (24h window) | Free | ₹0 |
| Platform fee | ₹1,000–5,000+/month typical | Flat licence key |
| Setup | Business verification + BSP onboarding | Install, scan QR |
Put real numbers on it. A reseller who sends an offer to 2,000 contacts twice a week is sending 16,000 marketing messages a month. On the API that's roughly ₹12,000–14,000 in message fees alone, plus the platform subscription. On WA-CRM the same 16,000 messages cost nothing extra — you already paid for the licence.
Flip it, though. If you're sending 200,000 OTPs a month at ₹0.12, that's ₹24,000 for something that is instant, logged, reliable and never depends on a laptop staying awake. No desktop tool should be doing that job.
For the API you need a Meta Business Manager account, business verification (GST certificate, incorporation documents, a utility bill or bank statement in the company's name), and a BSP to onboard the number. Expect a few days to two weeks, and rejections do happen for mismatched documents. Once a number is migrated to the API, you can no longer use it in the normal WhatsApp app or WhatsApp Web — so don't migrate the number your customers already message you on unless you've thought it through.
WA-CRM has no approval step at all. Download it, install on Windows, scan the QR with your current number, and you're working in ten minutes. There's a 7-day free trial to test before you buy.
This is the difference most people underestimate. On the API, once a customer has messaged you, you have a 24-hour service window in which you can reply freely. Outside that window you may only send pre-approved template messages, and marketing templates get rejected regularly for tone, promotional wording or formatting. Edit a template, and it goes back for review. On top of that, each number sits in a messaging tier (1,000 / 10,000 / 100,000 / unlimited unique customers per 24 hours) that rises or falls with your quality rating.
WA-CRM has none of that. You type what you want, when you want. Broadcast supports [NAME] personalisation, {Hi|Hello} spin syntax, media attachments, CSV and Excel import, and random delays between sends. That freedom cuts both ways: there is no template review protecting you, so the risk of a bad campaign lands entirely on your number.
If you're a bank, a logistics company, a large D2C brand or anyone sending transactional notifications, the API is the right answer and this article isn't trying to talk you out of it.
[NAME] and {Hi|Hello}, set a random delay of 8–20 seconds, and start with a list of 30 to see how it behaves.Pick the API if you send transactional notifications, need the green tick, have a support team sharing one number, need 99.9% uptime, or send more than roughly 50,000 messages a month where the fee is a rounding error.
Pick WA-CRM if you're a small business, reseller, digital-product seller or agency; you sell conversationally rather than transactionally; you're already on WhatsApp Web all day; you run several numbers; and per-message fees would eat your margin.
Plenty of businesses run both: API for OTPs and order updates, WA-CRM for the sales conversations that actually close.
No tool protects you from a bad list. WA-CRM automates your ordinary WhatsApp session, so if you blast strangers, your number gets reported and banned — the same as with any other tool, API included. Message people who gave you their number, warm up new numbers slowly, keep delays random, always offer an opt-out, and stop immediately if block rates climb.

No. Once a number is migrated to the API it can no longer sign in to the WhatsApp app or WhatsApp Web, which is what WA-CRM uses. Run them on separate numbers — many businesses keep the API number for notifications and a second number in WA-CRM for sales conversations.
No. The Official Business Account badge is granted only through the WhatsApp Business API plus Meta's brand verification. Any desktop tool that claims to provide the green tick is misleading you.
No. WA-CRM is an independent Windows application that runs your own WhatsApp Web session inside it and adds CRM features around it. It is not affiliated with WhatsApp or Meta, and responsible use matters — blasting strangers gets numbers banned on any tool.
Nothing. You pay for a device-bound licence key rather than for traffic, so message volume does not change your bill. There is a 7-day free trial, and resellers can issue licence keys under their own brand from the Reseller Panel.
Install for Windows, start a trial in-app, and add isolated sessions. No card needed.
