WhatsApp Lead Manager: Build a Real Sales Pipeline
A step-by-step WhatsApp lead management tutorial: use the + Lead button, set lead TYPE vs STATUS, filter your pipeline and read the WA-CRM Reports view.
Most small businesses in India already run their sales on WhatsApp. The problem is rarely lead generation — it is that a hot enquiry from Tuesday is buried under forty chats by Friday. WhatsApp lead management inside WA-CRM fixes that by putting a real pipeline on top of the chats you already have: a + Lead button in every chat header, a lead TYPE, a STATUS pipeline, filters, and a Reports view that finally tells you your win rate.
This tutorial walks the full loop — capture, classify, move, filter, read the numbers. WA-CRM is a Windows desktop app running on your own WhatsApp Web session, so there is no API approval and no per-message fee.
TYPE vs STATUS: the one thing people get wrong
Two fields do almost all the work, and they are constantly confused.
TYPE is how warm the person is: New, Hot, Warm, Cold. It is your judgement about intent — how likely they are to buy at all.
STATUS is where the deal physically stands: Contacted, Follow-up, Proposal sent, Won, Lost. It is a fact about what has already happened.
The two are independent. A lead can be Hot + Follow-up (they want it, you are chasing a date) or Cold + Proposal sent (you quoted ₹4,500 and they went quiet). Keeping them separate is what makes the reports useful later: TYPE tells you where to spend energy today, STATUS tells you how much money is actually in play.

Step 1 — Save a chat as a lead with the + Lead button
Open WA-CRM and connect the number you sell from. If you sell across two or three numbers, add them all under Multi WhatsApp Account — each runs in its own isolated session and you switch instantly.
Open the chat of the person who just enquired.
In the chat header, next to the contact name, click + Lead. The button is injected into every chat, so you never leave WhatsApp to do this.
Fill the lead card: name (pre-filled from the chat), TYPE, STATUS and a one-line note. Write the note like a human would: "wants the 3-in-1 reseller bundle, asked price, budget approx ₹2,500."
Save. The chat is now a lead and shows up in Lead Manager on the right-hand feature rail.
Do this at the moment of the enquiry, not at the end of the day. Ten seconds now beats twenty minutes of scrollback later.
Lead Manager — lead type (Hot/Warm/Cold) and pipeline status side by side
Step 2 — Set the TYPE honestly
Be strict, or the filters become noise:
New — just landed. Not qualified yet, you have not really spoken.
Hot — asked about price, payment, delivery or said "send details". Intent is visible.
Warm — genuinely interested, but timing is off. "After Diwali", "next month's budget".
Cold — no reply to two follow-ups, or an explicit "not now".
One discipline that pays off: only change TYPE when the person's behaviour changes, never because you feel optimistic. If every lead is Hot, Hot means nothing.
Step 3 — Move the STATUS as things actually happen
The pipeline runs in order:
Contacted — you have replied and the conversation is live.
Follow-up — the ball is in your court, you owe them a nudge.
Proposal sent — you have quoted. If you raised a GST invoice from the Invoice panel (CGST/SGST for in-state, IGST for out-of-state) and sent the PDF straight into the chat, that lead is Proposal sent the moment it delivers.
Won — paid.
Lost — they said no, or bought elsewhere.
Update the status in the same sitting you take the action. Two habits help a lot:
Use Quick Replies to send the product image plus caption from your saved catalog instead of typing the offer again, then flip the status.
Attach an Auto Follow-Up Sequence to a Warm lead — a two- or three-step message chain with delays in hours or days. It auto-stops the moment the lead replies, so nobody gets a robotic nudge after they have already answered.
Step 4 — Filter Lead Manager into today's work list
This is where the classification pays back. Open Lead Manager from the right-hand feature rail and combine filters:
TYPE = Hot, STATUS = Follow-up → your call list for this morning. Work it top to bottom.
STATUS = Proposal sent → money already on the table waiting for a decision. This list should never be older than a week without a nudge.
TYPE = Warm, STATUS = Follow-up → the list to re-offer next month when a new bundle drops.
TYPE = Cold → leave it alone most of the time. Touch it only when you have a genuinely new offer.
Use the search box for a name, number or a keyword from your notes — searching "bundle" pulls back everyone who ever asked about that product.
Step 5 — Read the Reports view without fooling yourself
Switch to the Reports view inside Lead Manager. You get totals, won, lost, win rate, a breakdown by status, a breakdown by type, and CSV export over a custom date range. Read it in this order:
Win rate first. Won ÷ (Won + Lost). If you closed 14 of 40 decided deals, that is 35%. Track the direction month over month, not the number in isolation.
A fat Proposal sent bucket is a follow-up problem, not a lead problem. Twenty quotes sitting undecided means your nudges are missing, not that your leads are bad. Fix it with a follow-up sequence, not more advertising.
Lots of New that never reached Contacted means the leak is at the top — your response time. Reply faster, or set an Autoreply BOT rule to hold the enquiry.
Compare Hot count to Won count. Thirty Hot leads and three wins means your definition of Hot is too generous. Re-read Step 2.
Export the CSV for a fixed range (say 1–30 June) and keep one file per month. That is your real sales history, sitting on your own machine.
A 15-minute weekly WhatsApp lead management routine
Monday morning: filter TYPE = Hot, STATUS = Follow-up. Call or message every one of them.
Wednesday: filter STATUS = Proposal sent. Anything older than five days gets a short, specific nudge — not "any update?" but "shall I hold the ₹2,500 price till Friday?".
Friday: downgrade honestly. Hot leads that went silent for two weeks become Warm or Cold. Mark clear no's as Lost — a clean Lost is more useful than a lie in your pipeline.
Month end: open Reports, note the win rate, export the CSV, and pick the single worst number to work on next month.
Fifteen minutes a week is genuinely enough to keep a few hundred leads under control.
Being straight about what this is
WA-CRM is not official WhatsApp or Meta software, and it is not the WhatsApp Business API. It drives your own WhatsApp Web session from a desktop app — which is why there is no per-message fee, and also why responsible use matters. Lead Manager is built for people who contacted you. Blasting strangers with Broadcast is what gets numbers restricted on any tool, WA-CRM included. A tight pipeline of forty real leads will out-earn a broadcast to four thousand cold numbers, and it keeps your number alive.
If you want to try the pipeline on your own chats, download the free 7-day trial or see plans at wa-crm.in — Lead Manager, Reports and CSV export are all included in the trial.
Frequently asked
Does saving a lead send anything to the contact?
No. The + Lead button only stores the chat in your local Lead Manager database. The person sees nothing, and no message is sent.
Can I use Lead Manager across multiple WhatsApp numbers?
Yes. Add each number under Multi WhatsApp Account. Every account keeps its own isolated session, and you switch between them in the same window without logging out.
What is the difference between lead TYPE and lead STATUS?
TYPE (New/Hot/Warm/Cold) is how interested the person is. STATUS (Contacted/Follow-up/Proposal sent/Won/Lost) is what stage the deal has reached. Filter on TYPE to decide who to work on, and read STATUS in Reports to see where deals are stalling.
Where does my lead data live?
On your own Windows machine, inside the app. You can pull it out any time as a CSV from the Reports view over whatever date range you choose.
