WhatsApp Product Catalog: Send Any Offer in One Click
Build a searchable WhatsApp product catalog in WA-CRM: save image, caption and category for 70 offers, send any one in a click, and pin favourites as chips.
If you sell 50–70 digital products on WhatsApp, your real bottleneck is not closing — it is finding. A buyer asks "1 year plan ka rate kya hai?" and you spend two minutes scrolling your phone gallery for the right creative, then retype the price from memory and hope you got it right. A WhatsApp product catalog inside WA-CRM removes that gap: every offer is saved once as image + caption + category, searched by name, and dropped into the chat that is already open with a single click.
In WA-CRM this lives under Quick Replies — it doubles as your product catalog. It runs on your own WhatsApp Web session inside the desktop app. To be clear: this is not official WhatsApp or Meta software, and it is not the WhatsApp Business API, so there are no per-message fees and no approval process.
Why a WhatsApp product catalog beats your phone gallery
Three practical reasons, none of them exciting, all of them worth money:
Price consistency. You type ₹899 once. You never again quote ₹799 to one customer and ₹899 to the next because you were half-asleep at 11pm.
Reply speed. Digital-product buyers compare four sellers at once. Answering in 8 seconds with a clean creative and a clear price wins deals that a 4-minute reply loses.
It scales past 20 items. At 70 SKUs you cannot remember file names. Categories plus search is the only thing that keeps it usable.

Also decide a naming rule and stick to it, because search matches on what you type. Something like Category – Product – Duration gives you Subscriptions – Premium Plan – 12M. Now typing "12M" or "premium" both find it.
Step 1: Open Quick Replies from the right-hand feature rail
Launch WA-CRM and let your WhatsApp session load. If you run several numbers, pick the account you want from the Multi WhatsApp Account switcher — each account keeps its own isolated session.
On the right-hand feature rail, click Quick Replies. The catalog panel opens beside your chat list, so you can see the conversation and your products at the same time.
First run will be empty. That is fine — that is what Step 2 is for.
The product catalog — search a saved offer and send it in one click
Step 2: Save your first product (image + caption + category)
Click + Add Product at the top of the Quick Replies panel.
Title — use your naming rule: Subscriptions – Premium Plan – 12M.
Category — pick from your list, or type a new one. Keep it to the five to eight you wrote down.
Image — attach the creative you would normally send. One clean image per product. If your creative already has the price baked into the design, make sure it matches the caption, otherwise you will be arguing with a customer later.
Caption — this is the message that goes with the image. Write it the way you actually talk. A caption that works:
`` Premium Plan — 12 Months Price: ₹899 (all taxes included) Instant delivery after payment Replacement warranty for full validity ``
Click Save. The product appears as a card in the panel.
Keep captions product-only. The greeting ("Hi Rahul") is one line you type yourself in the chat — it takes two seconds and it reads far better than a template.
Step 3: Load the other 69 in one sitting
Do not add products as they come up during the day. You will end up with half a catalog and no consistency. Block 90 minutes once:
Put every creative into one folder on your PC and rename the files to match your product titles. Renaming first is what makes the next 60 minutes fast.
Open a notepad file and write all 70 captions in the same shape — price line, delivery line, warranty line. Copy-paste beats re-typing.
Add them category by category, not randomly. Finish all Subscriptions, then all Courses. You will spot duplicates and dead SKUs while you go.
When you finish, use the search box to test five random products. If a product you know exists does not come up, the title is wrong — fix it now, not during a live chat.
Step 4: Send an offer into the open chat in one click
This is the whole point of the feature.
Open the customer's chat in WA-CRM as normal.
In the Quick Replies panel, type two or three letters into the search box — prem, 12m, combo — or filter by category from the dropdown.
Click Send on the product card. The image and caption go straight into the open chat as a normal message from your number.
Follow up with one human line: "Payment ke baad 2 min me delivery ho jayega." One click plus one line, roughly eight seconds total.
While you are in that chat, hit the + Lead button in the WhatsApp chat header to save the person into Lead Manager as Hot or Warm with status Proposal sent. Later you will actually know which of your 70 products people ask about and never buy.
Step 5: Pin your favourites as chips above the message box
Around 10 products will drive 70% of your sales. Those do not deserve a search.
On a product card in Quick Replies, click the pin icon.
The product now appears as a chip in the strip directly above the WhatsApp message box.
Click the chip in any chat and the offer sends immediately — no panel, no search.
Pin five to eight, no more. A wall of twenty chips is slower to read than typing three letters into search.
Re-pin seasonally. During a festival sale, pin the festival combos; on the 1st of the month, pin the renewal offers and unpin the rest.
Step 6: Keep the catalog honest
Once a month, spend ten minutes on this:
Delete products you no longer supply. A stale offer sent by accident costs you a refund and a bad review.
Update prices in the caption and on the creative together.
Re-check your top pins against what actually sold, using the reports view in Lead Manager (total / won / lost / win-rate, with CSV export over a date range).
Where the catalog plugs into the rest of WA-CRM
Your catalog is not an island:
Broadcast — take the same creative and caption to a list of existing customers with [NAME] personalisation, {a|b} spin syntax and random delays between sends.
Auto Offer Post — schedule an offer to auto-post into your reseller groups on an interval, timezone-aware, with a countdown and logs.
Invoice — once the buyer says yes, generate a GST-ready invoice (CGST/SGST or IGST) from your saved products and prices and send the PDF into the same chat.
Auto Follow-Up — a two-step sequence that stops the moment they reply, so the offer you just sent does not die in silence.
One honest warning about bans
Sending a saved offer into a chat someone opened with you is just a normal message — that is low risk. Blasting the same creative to 800 scraped numbers who never contacted you is what gets numbers banned, on WA-CRM or any other tool. Message people who asked, keep your daily volume sane, use the random delays in Broadcast, and warm up new numbers slowly. No software can protect a number from a spam pattern.
Want to try it on your own product list? Download the free 7-day trial or check pricing at wa-crm.in — building the catalog for 70 products takes about one evening, and you get that evening back within the first week.
Frequently asked
How many products can I realistically keep in Quick Replies?
The feature is built for sellers running roughly 50–70 offers. The limiting factor is not the app, it is your naming — with clean, consistent titles and five to eight categories, search stays instant even at the top of that range.
Does sending from the catalog increase my ban risk?
Not by itself. Clicking a chip or a Send button posts one ordinary message into a chat that is already open, exactly as if you attached the image manually. Risk comes from volume and from messaging strangers who never contacted you, not from where the image was stored.
Can I send a catalog product to many people at once?
Not from Quick Replies — that panel sends to the currently open chat only. Use Broadcast for a list of contacts with random delays and [NAME] personalisation, or Auto Offer Post to schedule the offer into chosen groups on an interval.
Do these products sync with WhatsApp's own catalog feature?
No. Your WA-CRM catalog is stored locally on your PC inside the app. It works the same on personal and business numbers, and nothing is uploaded to Meta's catalog system — WA-CRM is not official WhatsApp software.
