Auto-Post Offers to WhatsApp Groups on a Schedule

Learn how to auto-post offers to WhatsApp groups on a schedule in WA-CRM: pick groups, set the interval, fix timezones and rotate offers without spamming.

TUTORIAL

Why auto-post offers to WhatsApp groups instead of pasting manually

If you sell digital products, run a reseller network, or manage a few buyer groups, you know the routine: open group, paste offer, attach image, send, move to the next one, forget the last two, remember at 1 a.m. The Offer Auto-Poster in WA-CRM removes that routine. It lets you auto-post offers to WhatsApp groups on a fixed interval, from your own WhatsApp session, with a live countdown and a log of everything that went out.

Two honest notes before the steps. WA-CRM is not official WhatsApp or Meta software — it runs on your real WhatsApp Web session inside a Windows desktop app, which is exactly why there are no per-message fees and no API approval. And because it is your real number, posting recklessly is your risk. Groups where nobody asked for offers will report or exit, and that is what gets numbers restricted on any tool. Most of the settings below are about restraint as much as automation.

Step 1: Open Auto Offer Post and pick the right account

  1. Launch WA-CRM and make sure the WhatsApp account you want to post from is connected. If you run several numbers, switch to the correct one first — each account keeps its own isolated session, and the Auto Offer Post schedule belongs to the account that is active.
  2. On the right-hand feature rail, click Auto Offer Post. The panel opens with two halves: the offer you want to send on the left, and the group selection on the right.
  3. If this is your first schedule, the group list may take a few seconds to populate while it reads the chat list for that account.

A practical tip: use your business number here, not your personal one. Keeping offer traffic on a separate number means that if something does go wrong, your personal chats are untouched.

Step 2: Write the offer message

Compose the message the same way you would type it into a chat — text, line breaks, emoji if that suits your audience — and attach an image or PDF if the offer needs one. A price card or a single product image performs far better in a group than a wall of text.

Keep three things in the message every time:

If you already keep your product images and captions in Quick Replies, reuse that exact caption here so the wording in groups matches what you send in one-to-one chats.

Step 3: Choose the groups (fewer than you think)

The right side of the panel lists the groups on the active account with a checkbox against each one. Tick the groups this offer should go to.

Choose by relevance, not by size:

Start with three to five groups. You can widen the list once you have seen a full week of results.

Step 4: Set the interval

Now set how often the offer repeats. The interval is a gap, not a clock time — set it to 12 hours and the offer goes out roughly twice a day from the moment you start the schedule.

Sensible starting points:

Anything under six hours is where groups start muting you. A group that mutes you is worse than a group you never posted in, because your future messages are now invisible.

Step 5: Get the timezone right

Set the timezone to the one your buyers actually live in — for most Indian sellers that is Asia/Kolkata (IST, UTC+5:30). This matters more than it looks. If your laptop clock is on a different zone, or you are travelling, a 12-hour interval that was meant to land at 11 a.m. and 11 p.m. will drift into the middle of the night and quietly annoy everyone.

Two things to check once the timezone is set:

Step 6: Rotate multiple offers so groups do not see the same text twice

The fastest way to get muted is to post identical text every day. Instead, build a small rotation:

  1. Create four to six separate offers — different products, different angles, different images.
  2. Add them all to the Auto Offer Post queue so the poster cycles through them instead of repeating one.
  3. Mix the types: two straight product offers, one "how to use it" tip, one customer result, one limited-time discount. Groups tolerate promotion far better when something useful sits between the pitches.
  4. Refresh the queue every two weeks. Old prices and expired offers in a rotation make you look careless.

If a particular offer is your main earner, keep it in rotation but do not give it more slots than the rest — repetition is what people notice, not volume.

Step 7: Start the schedule and read the logs

Hit start. The panel switches to a running state with a live countdown to the next post, and every send is written to the log with a timestamp, the group name, and whether it succeeded.

Check the log the next morning and look for:

A posting rhythm that does not annoy your groups

Group Guard and Group Utilities sit on the same feature rail if you also need to moderate link spam or handle bulk join/leave — worth setting up once your offer groups start growing.

Try it on your own groups

Auto Offer Post is included in WA-CRM along with Lead Manager, Quick Replies, Broadcast, Invoicing and the rest. You can install it on Windows and run a free 7-day trial — long enough to test a full week of scheduled offers on three groups and see the reply rate for yourself. Frequently asked

Does WA-CRM keep posting if I close the app?

No. Scheduled posts fire from your own WhatsApp session inside the desktop app, so the app has to stay open and connected. If the machine sleeps or you quit, the schedule pauses and picks up again when you reopen WA-CRM.

Can I run different offer schedules on different WhatsApp numbers?

Yes. Each connected account has its own isolated session, so you can run a separate Auto Offer Post schedule per number - for example one for retail buyers and one for your reseller groups.

Will auto-posting get my number banned?

Posting a reasonable number of offers into groups you own or admin, where members expect them, is normal use. What gets numbers restricted is volume plus complaints: adding strangers to groups, posting every few minutes, or blasting identical messages to people who never asked. Keep the interval sensible, rotate the content, and stop posting where people are leaving.

What is the difference between Auto Offer Post and Broadcast?

Auto Offer Post repeats an offer into selected groups on an interval. Bulk Broadcast sends a one-time personalised message to a list of individual numbers or contacts, with [NAME] personalisation, spin syntax and random delays. Use the poster for ongoing group promotion and Broadcast for a specific campaign.
