One number stops being enough the day a payment query gets buried between two supplier chats. The usual patch is a second phone lying on the desk, and a third one charging behind the monitor. The cleaner fix is to run multiple WhatsApp numbers on one PC, inside one window, with every number logged in separately — which is what WA-CRM's Multi WhatsApp Account feature is built for.
Two honest things first. WA-CRM is not official WhatsApp or Meta software, and it is not the WhatsApp Business API. It is a Windows desktop app that loads your real WhatsApp Web sessions inside itself, so there are no per-message fees and no API approval to wait for. Each number you add is a normal linked device — exactly like opening WhatsApp Web in a browser tab, just organised properly.
Adding numbers for the sake of it is a bad idea. These are the situations where it genuinely pays off:
Before you start, keep the physical phones for each number nearby, charged and on the internet. Every number you add uses one linked-device slot on its own phone (WhatsApp allows four per number), so each number needs its own handset or dual-SIM device.
Sales 98xxx, Support 70xxx, Reseller 63xxx. Do not leave it as Account 1 / Account 2; when you have three numbers and a customer is waiting, the name is what stops you replying from the wrong one.Click a different account in the list and the whole workspace switches: chats, unread counts, labels, everything. There is no logging out and back in, and no browser profile juggling.
The important part is what does not switch — the sessions are isolated. Each account keeps its own login, cookies and cache in its own container, so account two never sees account one's chats, and a session drop on one number does not knock the others offline. If you use the per-account Proxy Server setting, each number can even sit on its own connection.
Whatever you fire from the right-hand feature rail goes out from the account that is currently open. Send a Quick Replies catalogue item, run a New Broadcast, generate an Invoice, start an Auto Offer Post — it all belongs to the visible number. So make a habit of reading the account name before you hit send, especially with Broadcast.
Once the numbers are in, configure them differently instead of treating them as clones.
Sales number. Add the + Lead button workflow here: every serious chat becomes a lead with a type (New / Hot / Warm / Cold) and a status (Contacted, Follow-up, Proposal sent, Won, Lost). Attach an Auto Follow-Up sequence — for example, a nudge after 1 day, a case-study message after 3 days, a final check after 7 days. The sequence stops on its own the moment the lead replies. Load your 50-70 product offers into Quick Replies and pin the top sellers as chips above the message box.
Support number. Keep it calm. An Autoreply BOT rule set with contains matches for "refund", "not working", "invoice" plus a fallback reply handles after-hours messages. Use Chat Filters to see unreplied chats only. Skip broadcasts entirely on this number.
Reseller / broadcast number. This is where offers and group posting live. Point Auto Offer Post at your buyer groups on a sensible interval, and run Data Extractor exports from here if you need CSVs.
Per-account settings sit in Account Settings — you have to unload the account first (Unload the account to manage settings). Give each number its own Message Signature so replies are self-identifying, set Blur Settings on the number you screen-share, and configure a proxy if you need one.
Multiple numbers on one PC is not, in itself, risky — plenty of businesses run a sales line and a support line. Bans come from behaviour, not from tooling:
{hi|hello|hey} spin syntax and [NAME] so 300 people don't receive one identical string.Same discipline applies with any tool on WhatsApp Web, including this one. WA-CRM makes the work faster; it does not make spam safe.
If you want to test this properly, the 7-day free trial at wa-crm.in is enough to add two numbers side by side and see whether the split actually matches how your team works. Plans and the Reseller Panel details are on the same site.
The app does not limit it — you can keep unlimited accounts in one window. The real limits are your PC's RAM and the fact that each number needs its own phone with a free linked-device slot. Two or three loaded at a time is typical; unload the rest.
No. Each account runs in its own isolated session with separate login data and cache, so chats never mix and one session dropping does not affect the others. Whatever you send always goes from the account currently open on screen.
Yes, in practice. WhatsApp linked devices keep working for a while if a phone goes offline, but each number's phone must stay registered and come online regularly, or that session will disconnect and ask for a fresh QR scan.
No. WA-CRM is independent Windows software that automates your own WhatsApp Web sessions. It is not affiliated with WhatsApp or Meta, and it is not the WhatsApp Business API.
Install for Windows, start a trial in-app, and add isolated sessions. No card needed.
