Export WhatsApp Contacts to Google Contacts (CSV)

Step-by-step: use WA-CRM's Data Extractor to pull numbers from chats and groups, filter saved vs unsaved, and export WhatsApp contacts to Google Contacts.

TUTORIAL

Why export WhatsApp contacts to Google Contacts

Most small businesses in India have two or three years of customer data sitting inside WhatsApp and no copy of it anywhere else. Every enquiry, every reseller group, every "price kya hai bhai" message is a number you earned — and it lives on one phone. If you want to export WhatsApp contacts to Google Contacts so those numbers sit in your Google account, sync to any phone you log into, and survive a lost or stolen handset, WA-CRM's Data Extractor does it without you copying a single digit by hand.

This tutorial covers pulling numbers out of chats, groups and labels, what the saved vs unsaved filter really means, exporting a Google-Contacts-ready CSV, and what to do with the file afterwards.

One honest note before we start: WA-CRM is not official WhatsApp or Meta software. It is a Windows desktop app that runs your own WhatsApp Web session, so it only sees what your account already sees. Nothing is pulled from outside your own chats.

What the Data Extractor actually pulls

The Data Extractor reads three sources:

For each number it returns the display name (where WhatsApp exposes one), the number in international format, the source it came from, and whether the number is saved in your phonebook or unsaved.

Data Extractor — pull numbers from chats or groups and export CSV

Step-by-step: extract and export

1. Open Data Extractor from the right-hand feature rail

Launch WA-CRM and let your WhatsApp session load. On the right-hand feature rail you will see the tool icons — Lead Manager, Quick Replies, Broadcast, Invoice, Auto Offer Post, Data Extractor. Click Data Extractor.

If you run multiple numbers, switch to the correct account first from the account switcher. Extraction always runs against the account currently open, and mixing a personal account's contacts into a business export is a mess you don't want to untangle later.

2. Pick your source

Choose From Chats, From Groups, or From Labels at the top of the panel.

For groups, you get a list with member counts — tick only the groups you actually need. Extracting eleven groups at once when you only wanted one gives you a bloated CSV full of people who have never spoken to you.

3. Set the extraction options

Two toggles matter most:

4. Run the extraction and read the counts

Click Extract Numbers. Depending on group size this takes a few seconds. You will get a results table with filter chips at the top — All, Saved, Unsaved — and a count next to each.

Those counts are the useful bit. A reseller group with 214 members where only 40 are saved tells you there are 174 people you have interacted with in some form who are not in your phonebook at all.

5. Understand saved vs unsaved before you filter

This trips people up, so be clear on what the two words mean here:

Saved = the number already exists in the contact list synced to this WhatsApp account. You have a name for them. These are usually existing customers, suppliers and people you have already dealt with.

Unsaved = the number is in a group with you or has messaged you, but is not in your phonebook. WhatsApp shows it as a raw number or a push name.

Which do you export? Depends on the job:

A word of caution on the unsaved list: being in a group with someone is not the same as them asking to hear from you. Save them, tag them, follow up with the ones who actually engaged — but do not treat a 200-member group as a broadcast list. That is exactly the behaviour that gets numbers reported and banned, on any tool.

6. Export the Google-Contacts-ready CSV

Apply the filter you want, then click Export for Google Contacts. WA-CRM writes a CSV with the column headers Google expects — Name, Given Name, Phone 1 - Type, Phone 1 - Value, Group Membership — rather than a plain dump you would have to remap by hand.

Two fields worth filling in:

7. Import into Google Contacts

Open contacts.google.com on your computer, go to Import in the left sidebar, choose Select file, pick the CSV WA-CRM just saved, and confirm. Google will show the imported batch under the label you set.

Two things to do straight after the import:

  1. Run Merge & fix (Google suggests duplicates) — this catches numbers you already had stored in a different format.
  2. Check five or six entries manually to confirm the +91 prefix carried through correctly.

Once it is in Google Contacts, it syncs to every Android phone signed into that account, and it is exportable again in vCard format if you ever move to another CRM.

What to actually do with the export

Getting the CSV is step one. The value is in what happens next:

Verify before you use it. Run the list through Number Filter to check which numbers are actually on WhatsApp. Old group exports always contain dead numbers, and messaging a pile of invalid numbers is one of the fastest ways to get flagged.

Feed it into Broadcast — carefully. Broadcast accepts CSV and Excel import, supports [NAME] personalisation, {hi|hello} spin syntax and random delays between sends. Use it for people who opted in: existing customers, your own paying reseller group, people who enquired. Not for a cold list scraped out of a random group.

Turn the good ones into leads. For anyone who replies, open their chat and hit the + Lead button in the chat header. Set the type (New / Hot / Warm / Cold) and move them along the status pipeline — Contacted, Follow-up, Proposal sent, Won, Lost. That is where the export stops being a spreadsheet and starts being a pipeline you can report on.

Re-export on a schedule. Once a month, re-run the extraction and export only the new unsaved numbers. Your phonebook stays current without a big cleanup project every six months.

A note on responsible use

An extraction tool is neutral — how you use it is not. Numbers get banned for volume and for complaints, not for using a desktop CRM. Keep sends slow, keep them relevant, honour every "stop", and never message someone who has no idea who you are. A list of 300 people who want your offers is worth more than 5,000 who don't.

Frequently asked

Does the Data Extractor work on groups I created and groups I only joined?

Both. If your WhatsApp account can see the member list, the extractor can read it. Some groups restrict member visibility depending on their settings, and in those cases you will get fewer numbers than the member count suggests.

Will exporting numbers get my WhatsApp banned?

Extracting and exporting is a read operation inside your own session and doesn't send anything. Bans come from what you do afterwards: mass-messaging strangers, sending identical messages at speed, and getting reported. Use the export to build a real contact list, not a spam list.

What's the difference between the plain CSV and the Google Contacts CSV?

The plain CSV is a simple name-and-number file for Excel, Broadcast import or your own records. The Google Contacts CSV uses Google's exact column headers (Name, Given Name, Phone 1 - Type, Phone 1 - Value, Group Membership) so it imports cleanly with names, phone types and labels intact, with no manual field mapping.

Can I extract from more than one WhatsApp account?

Yes. WA-CRM runs unlimited numbers in one window with isolated sessions. Switch accounts and run the extraction again, but export each account to its own CSV file so your lists stay separated.
